The HR & Payroll Coordinator position is responsible for overseeing HR activity coordination and payroll/time-keeping administration for the BD Biosciences San Jose facility. The San Jose site has approximately 1,300 associates of mixed manufacturing, field-based sales and service, and head-office/executive functions affiliated with the location(s) in San Jose. In addition, this role provides payroll, time keeping, and systems support for transactions that are not handled by the ASC and are needed for a total of four distinct associate groups within CA.

Job Description

For aid in this overview, the four sites are defined as:

  • San Diego BDB

  • San Jose (Reagents)

  • San Jose

  • SD Diagnostics (how eTime labels this population) / CA IDS/POC (how BD refers to this business)

Typical Responsibilities:

  • Drive optimal alignment and HR Model activation as the main point of contact and site liaison for the Associate Service Center (ASC) for those classified in the four sites defined above.

Responsibilities include:

  • Serve as a resource as needed for further questions on subject matter experts or appropriate person for follow-up questions in the early stages of the associate’s tenure as needed.

  • Serve as a guide to new associates on available resources post orientation and provide overview of the HR service delivery model and resources

  • Serve as the eTime site administrator for eTime transactions that are specific and unique to local CA pay/time keeping requirements and CA time vacation policies

  • Input vacation accruals, sick time, personal holidays into eTime for any transfer across the four BD sites located in CA

  • Input and process manager access to tasks in eTime for the four BD sites defined above for vacation accruals

  • Update accruals in eTime when inaccurate for the population (personal, sick and vacation)

  • Input and process manager access to tasks in eTime for the four BD sites defined above for “edit jobs” tasks in Workday

  • Complete daily validation of time and attendance with new hires and transfers as needed

  • Process eTime updates and administer payroll emails to the appropriate local population as needed on behalf of the ASC

  • Serve as validation approval for classifications on exceptions, i.e., meal premiums that have local CA specific treatment guidelines, etc.

  • Serve as validation approval within Workday for transactions from the four sites defined above for data changes

  • Input classifications / person type / manager type / pay date that impact pay classifications within Workday prior to final transaction processing for all promotions, pay changes, title changes, etc.

  • Trouble-shoot service level issues that may arise in the normal and customary part of large volume transactions; serve as the face of HR when issues are potentially unresolved between associates and the ASC

  • Receive new hire / orientation lists from the ASC each Thursday and coordinate with each facility on timing / attendance prior to Day 1.

  • Implement comprehensive new hire orientation to enable an effective Day 1 experience, including delivery of Day 1 orientation.

  • Process Day 1 new hire paperwork including I9s

  • Engage with associate’s manager and/or HRBP as needed to resolve any potential issues.

  • Ensure an effective transition from orientation to new manager/team.

  • Responsible for onsite personnel file management, record retrieval and storage management.

  • Participate in responses related to audit requests from associate files, and other audit needs as affiliated with associate data

  • Ensure proper posting of local, state, and federal guidelines for wage, overtime and employment law policies; includes immigration posting and photocopying of materials as needed for immigration support team when local actions are needed.

  • Administer the BDB Happenings postings via email on behalf of talent related information resources necessary for resources

  • Serve on the Global Awards committee to effectively activate bi-annual nomination, selection and distribution of awards; process awards to ensure all associate winners receive the appropriate award as designated

  • Update local policies in partnership with AccessHR (employee relations) and Legal as needed; assists as needed for any site in-person needs in partnership with AccessHR

  • In coordination with site leadership, assist with site events that enable engagement and foster an inclusive culture.

  • Provide local site coordination for BD University (BDU) Learning and Development courses taking place in San Jose as needed in partnership with the COE.

  • Serve as a resource for KDG preparation as needed

  • Perform other responsibilities as assigned

Position Requirements

  • Experience with an enterprise wide HRIS with the ability to develop reports for dataretrieval

  • Extremely detail-orientated and accurate

  • Proven relationship building and conflict resolution skills

  • Minimum 2 years Payroll experience within an enterprise payroll system; strongly prefer experience in SAP and interfaces with external Payroll vendors

  • Knowledge of payroll practices and principles

  • Demonstrated ability to maintain confidentiality of information

  • Ability to perform work with accuracy and attention to detail

  • Strong mathematical skills with ability to research, analyze, and correct time and payroll data

  • Ability to communicate in a precise and clear manner

  • Strong interpersonal skills; able to develop and maintain effective working relationships with all levels of internal/external contacts

  • Experience working in mid/large complex environment

  • Microsoft Office Suite with Fluency required in Excel, including ability to navigate vlookup, pivot tables, conditional formatting, etc. and advanced proficiency in enterprise HRIS (preferably SAP) with interface to external payroll vendor (ie, NGA, ADP, etc.)
